What Dutch Law Actually Requires on an Invoice
The Netherlands has some of the clearest invoicing rules in Europe. The Belastingdienst (Dutch Tax Authority) publishes a precise list of what every invoice must contain. A generic template from a random website may look professional but leave out legally required fields - which can cause problems during a BTW audit or when clients dispute charges.
Here is what a compliant Dutch invoice template must include:
Mandatory Fields (No Exceptions)
Seller's details:
- Full name or registered business name (as listed with KVK)
- KVK number (your 8-digit Kamer van Koophandel registration)
- BTW-id (format: NL + 9 digits + B + 2 digits, e.g. NL123456789B01)
- Business address (the registered address, which may differ from where you work)
Buyer's details:
- Full name or company name
- Address
- For B2B invoices: buyer's VAT/BTW number
Invoice details:
- A unique, sequential invoice number. This is non-negotiable - the sequence must not have gaps. Use a consistent format: 2026-001, 2026-002, or FAC-2026-001.
- Invoice date (date of issue)
- Description of goods or services: specific enough that the Belastingdienst understands what was supplied. "Consulting March" fails this test. "Strategy consulting, 12 hours, relating to digital transformation roadmap for client ABC" passes.
- Quantity and unit price of each item
- BTW rate applicable (21%, 9%, or 0%)
- BTW amount in euros
- Subtotal excluding BTW
- Total including BTW
Payment details:
- Your IBAN
- Payment term (e.g. "Betaling binnen 30 dagen na factuurdatum")
When You Are KOR-Exempt
If you are registered under the Kleineondernemersregeling (KOR) and exempt from charging BTW, you still issue invoices - but you must include the phrase: "BTW vrijgesteld op grond van artikel 25 Wet OB 1968." Do not show a BTW amount or rate. Do not show your BTW-id (you may not have one if you are KOR-registered and below the threshold).

Common Mistakes to Avoid
KVK vs BTW-id confusion: Your KVK number (8 digits) and BTW-id are different things. Both must appear on every invoice if you are BTW-plichtig.
Rounding errors: Dutch invoices should show exact euro and cent amounts. Round at the total level, not per line item.
Missing the buyer's VAT number on B2B invoices: For transactions between two Dutch businesses, you need the buyer's BTW number on the invoice. For consumer (B2C) invoices, it is not required.
Sending invoice images instead of PDFs: A JPG of a handwritten invoice is not professional and makes record-keeping difficult for your client. Always send PDF.
